OVERALL SERVICES – SEE EXHIBIT A • Online, applicant-entered, data entry system • Ability to place manual orders if needed • Ability to access via computer, tablet, and mobile phones • Allows College employees and external users to place orders • The ability to customize with policy notifications that require applicants to review and acknowledge before an order is submitted • Tracks all orders submitted and shows current status of application, i.e., estimated completion, in-process, completed • Screening services submitted must be received within: o 48 hours if person has only resided in Colorado in the last 7 years o 7-12 business days for all other states of residence in the last 7 years MINUMUM WORKFLOW REQUIREMENTS • Two-step process for orders routing orders o Applicant places order o Step 1 – Order is routed to assigned PPSC users for review o Step 2 – PPSC users review and approve order for processing PPSC USER EXPERIENCE • Individual username and password for each Human Resources staff member • User has the ability to: o Review o Edit o Reject/approve o Archive • Alerts users to errors (flags) • Alerts users if an order is rejected and explains why APPLICANT EXPERIENCE • Applicant creates username and password authentication to create profile which serves as electronic approval and signature • Ability to check order status • Ability to retrieve a copy of individual and/or group results • Ability to enter: o Multiple names o Birth month, day, and year o Social Security Number o Multiple addresses up to seven (7) years, as needed • Flags applicant errors that must be fixed before allowing them to move forward • Notifies applicants of pending approvals • Alerts applicants if an order is rejected and explains why
