1.1. The purpose of this Solicitation is to establish Contracts for the State’s Agencies, Boards, and Commissions (“State”), as well as Participating Members of the State Purchasing Cooperative (“Co-Op Buyer”), for the Offsite storage of Hard Copy Records and Magnetic Media. 1.2. The State, comprised of hundreds of state agencies, boards, commissions, councils, administrations, registrars, offices, and institutions, has requirements for offsite records storage, both hard copy records and magnetic media. This resultant contract(s) shall be made available to all of these state entities. Co-Op Buyers may also have similar storage requirements. 1.3. The State currently has over 300,000 boxes in the Phoenix area with a records storage vendor. These boxes do not belong to just one entity. The boxes belong to multiple state entities. 1.4. Each State entity has discretion over their own records decisions such as moving in-house records to a vendor’s facility, retrieving records from a vendor’s location, or having a vendor perform document destruction services after documents have exceeded the required retention requirements.
