This request is seeking proposals from hotels and other venues with on-site conference facilities, hotel rooms, direct meal services, a dance area and conference rooms. Bids should include at a minimum the hotel name, address and contact information for the on-site responsible contact person. Please provide a percentage off or firm fixed cost for all items requested to include hotel rooms, conference rooms, refreshments, lunch, sit down dinner, audiovisual access and equipment, wi-fi., tables, chairs, award stands, outlets for music and mic setup as well as possible table lines as well as utensils dependent on the needs for each event. It’s preferred that the venue have resort type amenities and be convenient for both students and staff. Please note in your proposals if your venue will allow for outside vendors to provide food or if a certain vendor is required. The venue must be located within the City of Hampton. Events held annually but not all inclusive are: • Prom: Approximately 500 people; four high schools, four different dates – • After Prom: Approximately 400 people: four high schools, four different dates • Academic Excellence Banquet: Approximately 200 people to include round tables with chairs that can accommodate guest, Award stand and table to hold awards, lighting to highlight the award stand, outlet for music and mic setup and linens and utensils.
