PHHS is seeking a vendor to provide on-site, comprehensive Medical Equipment Management services to the public health hospitals. The vendor will ensure that all equipment used for patient care is operational, safe, and appropriate for its intended use. The program is expected to include the functions and services listed below. The vendor will: Maintain an automated system for the control and management of the public health hospitals’ medical equipment. Manage equipment from receipt through its entire life cycle. Coordinate with Asset Managers to track all equipment locations in the Fixed Asset Management Program. Inspect, inventory, and establish a preventive maintenance schedule for all medical equipment. Develop and implement a loaner equipment program. Coordinate with Asset Managers for the disposition of equipment through the State Surplus Property Program. Additional requirements: Services will be provided through a combination of vendor and third-party resources. When original manufacturers or other third-party services are required, the decision will be made jointly by a PHHS representative and the vendor’s equipment specialist. The vendor will arrange and supervise these activities at its own expense for all covered items. C.1.c Asset Management of Non-Clinical Equipment- The vendor will: Work with each hospital to determine whether a baseline non-clinical equipment inventory is desired. Work with each hospital to determine whether the hospital wants the vendor to conduct an annual physical inventory and, if so, establish the cost for that service. Coordinate with Asset Managers to track the location of all non-clinical equipment in the Fixed Asset Management Program valued at $1,000 or more at the time of purchase. C.1.d Work Order Management / Planned Maintenance Services C.1.d.(1) Work Order Management Implement a system to receive and track work orders for inspection, preventive maintenance, and repair. Maintain life-cycle maintenance cost records, monitor equipment performance, and coordinate with equipment vendors and equipment riggers for equipment disposal. C.1.d.(2) Repair & Maintenance Respond to service calls within a mutually agreed-upon timeframe. Notify departments if repairs must be delayed (e.g., due to prioritization or lack of parts). Ensure prompt and competent repair of all medical equipment. Document repair costs and provide a system to monitor repair competency, planned maintenance, safety testing, and equipment downtime.
