Items listed for the State Fair and Got to Be NC Festival will be installed as interior, exterior and ceiling decorations for approximately twenty (20) different buildings and twelve (12) gate entrance areas as well as other outside areas. All booth draperies shall be flame retardant per NFPA 701 (National Fire Prevention Association). Provide appropriate flame retardancy certificate(s) to the NCSF prior to the date designated to begin set-up. Provide an experienced staff of decorator personnel. They shall be available at all times to assist department superintendents, exhibitors and the NCSF personnel during the set-up days and throughout the entire fair/festival. The staff will be on duty during the eleven (11) day event to monitor all buildings and outside grounds and keep decorations, equipment, and items in good repair. A minimum of one (1) key supervisor shall be available each day. Operate an office, provided by the fair, for one (1) week prior to the fair and throughout the fair. The office will need to be staffed with qualified person(s) to answer the phone during operation hours. The vendor’s staff shall be available to meet with department heads prior to set-up dates in order to determine exact needs and make recommendations. The Contract Manager will arrange the meeting. Changes may be required throughout the fair/festival for special events and day-to-day operations, due to weather conditions judging requirements, etc. Make the necessary change requested through the Contract Manager. Flags provided are to be solid colors. Custom printed flags are for the gate numbers. Gate flags will have the wording “Gate” and a number imprinted on the flag to be placed at the designated gate. (i.e. Gate 11). There are eleven Gate Entrances (1-11). Color sample options shall be provided for approval by the Contract Manager, at least 60 days prior to the event. Vendor shall provide brackets and mounting apparatus, for flags and signs and anything that requires hanging or mounting. Set up may begin in September of each year once availability of the buildings and grounds are determined. Some buildings require setting up in stages as department superintendents arrive. Vendor shall work closely with individual department superintendents as well as the Contract Manager. These dates will be coordinated through the Contract Manager. Removal of decorations and furnishings shall begin when the buildings close on the last night of the fair/festival and shall be completed by midnight on October 31 or the date designated by the Contract Manager. Begin removal as soon as possible to prevent theft. The NCSF will make the premises as secure as possible. Extra supplies may be needed during the Fair/Festival. The vendor shall have a supply warehouse for items not already on the fairgrounds and shall be available within 24 hours of the request from the Contract Manager or exhibitors. State the location of the nearest supply warehouse.
