he Contractor must: 1. Provide professional facilitation services which may include, but are not limited to, long-range strategic planning and communication planning. Requested services may include, but not be limited to, the following as defined in the work order or as requested by the Department: a. Facilitation of decision making, information-sharing, and/or problem-solving meetings. b. Attendance at pre- and/or post- meetings. c. Communication, as necessary, with subcommittees between meetings. d. Guidance with agenda development including identifying time-sensitive issues and incorporating them into the agenda to expedite decision-making. e. Summarization and organization of large amounts of complex written materials for meetings. f. Provision of timely and accurate meeting minutes. Due dates will be set by the Department when minutes are requested as the turnaround time may vary depending on the meeting. 2. Record the work conducted in the meetings and integrate that information into documents for the group to reference. 3. Ensure shared materials on which decisions are based are complete and reflect the issues to be decided. 4. Conduct research related to the facilitated meetings, as requested by the Department. 5. Communicate pertinent information to meeting participants and others identified by the Department. 6. Provide conflict resolution during meetings to keep group processes focused and moving forward. 7. Provide opportunities for participant feedback during meetings through Contractor-developed and implemented Customer Satisfaction Surveys. The Department may request the results of the surveys at any time. The Department reserves the right to request that certain questions be included in the survey.
