The proposed scope of work includes, but is not limited to, the following key features and activities to support in-person EOHLC events at least annually: Event Preparation - Calendar and Timing: The first event must take place in the Fall of 2025. EOHLC reserves the right to establish an alternative date, as needed. Development and Administration of Event Registration Platforms: Develop an accessible (i.e., accessible to the disability community), online registration platform maximizing Universal Design where members of the public, EOHLC/EOHHS staff, provider agencies, and other key stakeholders can register for upcoming events. Manage event accommodation requests surrounding dietary restrictions and accessibility related accommodations. Ensure a seamless registration and event check-in process, utilizing electronic modes of check in. Venue Sourcing, and Event Coordination with Venue Locations: Conduct venue discovery in partnership with EOHLC/EOHHS and the population for whom the event is being tailored,(i.e., identify a venue that will accommodate the requirements of the target population). Compare venues and negotiate. Serve as the primary point of contact and partner with chosen event venues. Plan event space layouts and prepare timelines and logistics of the day, including reserving accommodations, transportation, and catering (considering different dietary needs).
