The Town is looking for agenda management software to increase time-efficiencies and decision-making capabilities. The Town invites organizations to apply that meet any of the following capabilities: • Be customizable to allow creation of agenda forms and styles unique to the Town; • Support a minimum of seven boards; • Support a streamlined approval process for agenda items, including recording all workflow approvals; • Permit different approval workflows for different agenda items; • Permit editing of documents by the staff member who uploaded a document and/or anyone in the approval workflow; • Ability to integrate with Microsoft 365 for user authentication; • Ability to integrate with Microsoft 365 for SharePoint and OneDrive integration • Permit document upload directly from SharePoint; • Ability to integrate past data; • Single Sign On Ability; • Permit the use and/or attachment of Word, Excel, Publisher, and PDF format documents; • Opportunity to build/generate items within agenda management system and save documents locally (if needed); • Allow collaborative review of items, without character limit on comment boxes (if used) and control for how email notification is sent per comment; • Permit a “hard stop” deadline, after which approval must be given to add an item to a particular agenda; • Compile a “draft” agenda of item titles, excluding any uploaded documents; • Create a finished agenda from the uploaded documents; • Compile agenda packets of hundreds of pages, including detailed maps; • Ability to disseminate agenda packets to board members electronically, and ability to print the agenda packet; • Ability to upload agenda packets to the Town’s website; • Create a minutes shell, based on the agenda; • Ability to create a presentation (i.e. PowerPoint slides) to display on the audience screens in the chamber during meetings; • Ability to post approved minutes to the Town website and to email to individual or group email accounts; • Ability to host within the vendor’s environment; • Ability to integrate with YouTube; • Ability to integrate with Shure microphones; • Ability to access the agenda on a mobile device; • Ability to integrate with Morrisville Mobile App; • Ability to create mark-ups, annotations, and notes on a final agenda item (e.g. to prepare questions or highlight important information on an agenda in preparation for a council meeting.); • Ability to keep up with votes, direction and action items – to include when the follow-up is needed and by whom; • Ability to track meeting attendance, ideally for board members and staff; • Ability to track voting; • Option to allow for community engagement / input; • Option for electronic signup for public input (in advance of meeting and on site).
