Specifications include, but are not limited to: The City of Douglas is seeking proposals from qualified vendors to provide purchasing card services. This RFP outlines the requirements for a comprehensive program that will streamline our purchasing processes, enhance security and improve financial controls. We anticipate a significant volume of transactions and require a vendor with proven experience in managing similar programs. The City of Douglas is a municipal government agency with over 200 employees. We currently use Bank of America card services platform for a variety of purchases. This RFP seeks proposals for a comprehensive purchasing card program that includes, but is not limited to: Card Issuance: • Ability to issue cards with varying spending limits and usage restrictions. • Secure card delivery and activation processes. • Ability to issue temporary or virtual cards. Transaction Management: • Real-time transaction monitoring and reporting. • Ability to track and reconcile purchases by department, project, or category. • Integration with our existing accounting system (Springbrook)]. • Ability to set up spending limits and controls. • Ability to restrict usage by merchant, product, or location. Reporting and Analytics: • Detailed transaction reports, including spending by cardholder, department, and category. • Customizable reports and dashboards. • Integration with accounts payable software. • Ability to export data in various formats. • Data security and compliance with relevant regulations.
