3. Objectives The primary objectives of this project are to: ● Replace ten (10) aging Konica Minolta Bizhub multifunction copiers with new, reliable devices of comparable or superior functionality, such as the Xerox Color C8170 or equivalent models from other reputable manufacturers. ● Ensure seamless integration with our existing PaperCut MF print management system, specifically utilizing virtual queues. ● Establish a cost-effective leasing agreement for a period of 36 or 60 months, inclusive of all associated costs. ● Secure comprehensive services including delivery, professional setup and configuration of the new copiers, and removal of the existing Konica Minolta equipment. 4. Scope of Work and Technical Requirements The proposed solution must meet the following minimum requirements: ● Quantity: Ten (10) new color multifunction copiers. ● Performance: Devices should offer comparable or superior print and copy speeds to the Xerox Color C8170 (70 ppm color/black and white) or the Konica Minolta Bizhub C754 (75 ppm color/black and white). Please specify the proposed model's print and copy speeds in your proposal. ● Functionality: Each device must include: ○ Color printing and copying capabilities. ○ Black and white printing and copying capabilities. ○ Network printing and scanning functionality. ○ Duplex (two-sided) printing and copying. ○ A document feeder for scanning and copying multi-page documents. ○ A user-friendly control panel. ● Paper Handling: Devices should support a variety of paper sizes and weights, including standard letter, legal, and potentially tabloid (11x17). Please specify the paper handling capabilities of the proposed models. Include the standard paper tray capacity and options for additional trays. ● Security: Devices must offer robust security features, including: ○ User authentication and authorization. ○ Secure print release functionality compatible with PaperCut MF. ○ Data encryption for stored and transmitted data (if applicable). ○ Options for secure deletion of data on the device's hard drive. ● PaperCut Integration: The proposed copiers must be fully compatible and integrate seamlessly with our existing PaperCut MF print management system, including support for virtual queues as well as integrated scanning. Vendors should clearly outline their experience and approach to ensuring this integration. ● Lease Terms: Proposals should include options for both 36-month and 60-month lease agreements. ● Delivery and Setup: The proposal must include all costs associated with the delivery, unpacking, placement, and professional setup and configuration of the new copiers at our various locations: Bluff Elementary School - 10 Summit Road, Disnard Elementary School - 160 Hanover Street, Maple Ave - 210 Maple Ave., Claremont Middle School - 107 South Street, Stevens High School - 175 Broad Street and Sugar River Tech Center - 111 South Street. This includes connecting the devices to our network. ● Removal of Old Equipment: The proposal must include all costs associated with the removal and disposal of the ten (10) existing Konica Minolta Bizhub copiers. Please describe your process for environmentally responsible disposal. ● Maintenance and Support: Please detail the standard maintenance and support services included in the lease agreement. This should include response times, service level agreements (SLAs), and the process for requesting service. Please also describe any available training for our staff on the operation of the new equipment.
