a. Trips shall normally be scheduled on school days and may include weekday evenings, weekends, and overnight stays. Bidder shall have the capability to provide transportation services on an 24/7 basis; b. All charter bus services shall be contracted for a minimum of five (05) hours. Vehicles assigned to minimum hour trips must remain immediately available at all times for passenger service; c. Vehicle requirements for trips over five (05) hour minimum and less than 10 hours shall be determined by the service site; d. Bidder shall immediately notify Site Representative when charter buses are not on time for a scheduled pick-up or departure; e. Vehicles must remain with the passengers on extended trips of ten (10) hours or more or for trips of any duration beyond a 150-mile radius of Bidder’s nearest depot or station; f. Bidder shall be required to plot the trip and furnish drivers with route itineraries and detailed precise directions to all trip destinations and return. Drivers are to be aware of any road construction and road closures. Alternative routes shall be charted to avoid delays. On all extended and overnight trips, Bidder shall provide service site one (01) copy of trip itinerary; g. Bidder shall ensure that all assigned personnel with appropriate service vehicle(s) report to designated service site, ready to commence services in accordance with established reporting time. Vehicles must arrive at the school a minimum of 30 minutes prior to scheduled departure; h. Actual paid service time shall commence and end with the scheduled departure and arrival of students and District staff. Travel time to and from pick up/drop off points shall not be charged directly to the District but considered overhead, to be borne by Bidder and included in hourly service rates bid. For mileage-based trips, driver bears responsibility for ensuring Site Representative reviews odometer reading at initial pick up and final drop off; i. Students and staff from more than one school may be transported on the same bus with more than one (01) pick-up and drop-off site; j. Driver shall be required to carry a company or personal credit card (or cash) adequate to refuel or make necessary emergency repairs; Upon arrival at trip destination
