The system shall have the following functions: 1. Land Recording Software a. Provide a Land Recording Software system that is a commercial off-the-shelf integrated system. b. Describe a searchable database in which the Register of Deeds’ (ROD) staff can search historical records and newly recorded documents c. Describe ability to barcode documents d. Demonstrate a system that will allow recording of paper submissions of land records, financing statements, judgments, and other miscellaneous documents. e. Describe the process for recording, to include pricing and check out f. Describe indexing and quality assurance process. g. Describe the various data points available for indexing. h. Describe how the system will handle rejects and any available options for tracking rejects. i. Demonstrate ability to add commonly indexed names to a shortcut list for easier indexing. j. Describe system for tracking returned documents. k. Demonstrate ability to send a receipt by email from the system after document(s) recordation. l. Demonstrate ability to accept electronic payment transactions, credit card and cash payments, and produce reports and records of those transactions m. Demonstrate a system of Artificial Intelligence and/or assisted indexing for the indexing of recorded documents 2. Reporting a. Demonstrate workflow queues for management to monitor workloads for recording, indexing, and quality assurance. b. Describe your ability to produce reports required by the State Auditor that include fees and taxes collected as well as taxes due to the State
