Secure Areas – The following areas are considered “secure areas”. Immediately upon notification to proceed with services from the state agency, the contractor shall provide all daily and weekly tasks listed herein, during the times specified for the secure areas, as directed by the state agency. However, in the event the performance of a particular task would be disruptive (e.g. stripping of floors, carpet cleaning), the contractor shall perform the tasks at a time mutually agreed upon between the contractor and the state agency. The contractor shall be accompanied by a state agency employee while performing these tasks. At any time during a term of the contract, the contractor shall understand and agree that the State of Missouri may add or delete secure areas of the building requiring janitorial services. The Department of Elementary and Secondary Education, Disability Determination shall be cleaned between the hours of 8:00 a.m. and 4:30 p.m. The Department of Social Services, Children’s Division file room (approximately 250 square feet) shall be serviced as requested by the state agency. Unless otherwise stated herein, or if other days or times are approved by the state agency, the contractor shall perform the daily, weekly, monthly, quarterly, semi-annual, and annual tasks at the frequencies directed below. However, depending on the effective date of the contract and the condition of the building, the state agency may waive the requirement for performing the semi-annual task for the first six (6) months of the original contract period only. The daily tasks shall be performed Monday through Friday, one (1) time per day. The weekly tasks shall be performed at seven (7) calendar day intervals. The monthly tasks shall be performed within the first ten (10) working days of every thirty (30) calendar day interval. The quarterly tasks shall be performed once every three (3) months within the first ten (10) working days of the third month. The semi-annual tasks shall be performed once every six (6) months within the first ten (10) working days of the sixth month. The state agency will notify the contractor of the specific schedule for the contractor to perform the semi-annual tasks. The state agency may waive the requirement for performing the initial semi-annual hard surface floor work if sealing of newly laid hard surface flooring has been requested by the state agency. Prior to performing any of the monthly and semi-annual tasks required herein, the contractor shall notify the state agency at least seventy-two (72) hours in advance in writing of the anticipated beginning and completion date of each required task. The contractor shall resolve any task determined in writing by the state agency to be substandard, deficient, or incomplete. Upon successful completion of the weekly, monthly, and semi-annual tasks, the contractor shall receive written approval from the state agency. The contractor shall perform the tasks listed on the Cleaning Checklist (Attachment 2) at the frequencies indicated in order to keep all surfaces clean and free of dust, cobwebs, spots, spills, scuffs, other debris, etc. The contractor shall maintain a copy of the Cleaning Checklist in a location easily accessible to the state agency to review. The contractor shall understand and agree that for purposes of all restroom requirements, “clean” shall be defined as disinfecting, polishing, and removing all water spots. The contractor must follow-up with a written notice of the satisfactory completion thereof and shall obtain the written approval of each task from the state agency. The notification shall hereinafter be referred to as the “task schedule notice”.
