Cancer Prevention and Research Institute of Texas (CPRIT) is seeking sealed proposals from hotels with an American Automobile Association (AAA) Four Diamond status with enough ballroom and meeting room space to accommodate and host a scientific conference for two days. The conference will be attended by an estimated 700-800 attendees. CPRIT will consider proposals from hotel properties located throughout Texas that can meet CPRIT’s requirements not only for guest rooms but also for meeting space. Hotels interested in submitting a proposal for guest rooms only may include ballroom, exhibit, and meeting room space at the local Convention Center if the hotel is conveniently located adjacent to or within the neighboring vicinity of the Convention Center. Hotels are required to secure the room dates at their hotel and the corresponding meeting dates at the Convention Center. Responding hotels must provide point of contact information and confirmation of the secured dates at the Convention Center as part of their proposal. CPRIT understands that it must work directly with the local Convention Center and their preferred audiovisual and catering services vendors to finalize pricing. Provide all dates available for a two-day conference with an award dinner the evening prior to day one of the conference. The day of the award dinner can be used as the conference move-in day. CPRIT has provided some preferred timeframes for the conference in the general requirements below but may consider dates outside of these timeframes.
