Contractor shall provide all labor, tools, equipment, materials and supplies necessary to provide employee scheduling software application services for the Gold Fields District Aquatics Program at the Folsom Sector. The employee scheduling software application service shall provide secure web and mobile access to allow approximately 100 users to create individual accounts, to check schedules, pick up shifts and request leave time as further described below. Services shall be provided 24 hours a day, 7 days a week, 365 or 366 days per year which shall include weekends and holidays. OVERVIEW: a. Provide the ability to track and accommodate employee schedule preferences by selecting time, requests or availability to work. b. Allow users to volunteer, pick up, trade, or decline new shifts on demand. When users volunteer for hours, it does not go against their 40-hour work week; however, if shift would cause employee to exceed 40 hours between Sunday and Saturday, additional approvals would be required. c. Notify users about schedule changes and promote new shifts with automated calls, emails, SMS and mobile notifications that shall be configured globally for all users. d. Allow users to submit leave requests and enforce leave approval criteria such as leave allowances and staffing levels. Supervisors and managers shall have access within system to designate minimum staffing levels at respective areas. An example of this is, on Saturdays between June and August, every lifeguard tower on Granite Bay Beach is to be staffed. This would be enforced by schedule writers, supervisors and managers. e. Update schedules instantly and backfill openings upon approval of leave requests. If a user volunteers for hours, it will not go against their remaining work week hours, however, if extra shifts would cause employee to exceed 40 hours, additional approvals are required.
