Throughout the term of this agreement the vendor will serve as the dedicated audiovisual provider for City of Moreno Valley Parks & Community Services Department special events hosted at the various city locations as well as Amphitheater event rentals as requested. With an estimated 100 events annually, the vendor will offer sound, lighting, engineering, and technician services using their own or City-owned equipment to ensure high-quality productions for every rental or use of the venue. To support these efforts, the vendor will assign a team of four to five trained technicians, each wellversed in the operation of both their own and the City’s audiovisual (A/V) equipment. These technicians will be available seven days a week, from 7 a.m. to midnight, as required by scheduled events. The City will provide a minimum of two weeks’ notice for scheduling, ensuring seamless coordination. Each technician will bring extensive experience in handling audio and video equipment, allowing for professional amplification of speakers, music, and video presentations, as well as expert execution of theater-style stage lighting. Beyond personnel support, the vendor will engage directly with internal and external clients to assess A/V needs and determine the appropriate number of technicians required for each event. They will oversee the full setup, operation, and takedown of all City-owned A/V equipment, ensuring smooth execution on event days. The scope of services also includes specialized expertise in audio and visual production. Technicians will operate the City’s video wall, provide live streaming services, and manage video switchers to seamlessly transition between multiple sources. Stage lighting will be enhanced with multi-color capabilities to create dynamic and engaging presentations. Additionally, the vendor will offer high-resolution video and audio recording services, delivering professionally captured content and ensuring file transfers to the City. As part of their commitment to equipment care, the vendor agrees to take full responsibility for any damages or losses resulting from improper use of City-owned A/V equipment. With this comprehensive approach, the vendor will play a vital role in ensuring a seamless and high-quality audiovisual experience for all Parks & Community Services special events and Amphitheater rentals.
