6.1 Following execution of the Contract, the Auditor shall attend an initial Contract kickoff meeting with City staff as requested by the City’s Contractor Manager either inperson or virtually. 6.1.1 The meeting shall be held within one (1) month of Contract execution unless, otherwise approved in advance by the City’s Contract Manager or designee. 6.1.2 The purpose of the meeting is to obtain background information and further define audit goals and objectives, auditing logistics, scheduling, report distribution requirements, and to determine key contact personnel. 6.2 Contractor shall provide progress updates to the City’s Contract Manager or designee as requested. 6.3 Participate in emails, phone calls, and meetings concerning the audit activities. 6.4 Assist in responding to questions related to the audit received by the Plan Administrator or Committee. 6.5 Provide advice or presentations relating to regulation changes in the industry. 6.6 If applicable, the Auditor shall review previous original audit reports, findings, recommendations, and any audit responses. 6.7 Immediately report, via email or phone, to the City’s Contract Manager or designee any issues in obtaining the required information needed to complete the services based upon the agreed upon timelines. 6.8 The Auditor shall retain records relevant to the work performed under this Contract in compliance with generally accepted auditing standards. Records to be retained include Auditor’s work papers, documents that contain conclusions, opinions, or analyses, financial data related the audit or review, documents related to the agreed-upon procedures, and documents relevant to other services performed under this Contract. 6.9 The Auditor’s personnel assigned to this Contract may be changed at the discretion of the Auditor, provided that replacements have substantially the same or better qualifications or experience. The Auditor shall coordinate with the City’s Contract Manager or designee to establish a plan for transitioning work to Auditor’s replacement personnel. 6.10 The Contractor shall provide a Contract Manager who shall oversee the contract. The Contractor shall provide contact information for the Contract Manager and for an alternate contact person who shall be available by telephone between 8:00 a.m. and 5:00 p.m. Central Time, Monday through Friday. The City reserves the right to request a change in Contract Manager.
