1. Lodging 1.1 Room Block. The State will provide the Contractor final confirmation of rooms at least one week (7) calendar days prior to the event date. The Contractor must provide written notification to the State seven (7) calendar days prior to releasing the room block. After providing written notice and the expiration of the final room confirmation deadline, the Contractor may release the rooms and will no longer be responsible to hold the block of rooms. 1.2 Lodging. Lodging for 20 single or double occupancy rooms needed for up to 8 nights within Thief River Falls area of Minnesota: 1.2.1 Lodging needed for the following dates: 1.2.1.1 Check-in Date: March 2, 2025 1.2.1.2 Check-out Date: March 10, 2025 1.2.2 Contractor must provide secure, quiet, and clean rooms. Each guest room must include but is not limited to a television, phone, and other room necessities such as free WiFi all of which must be in good working condition. Each guest room must be vacuumed, all furniture dusted, and the bathroom floor and fixtures be clean. If a guest is not satisfied with the hotel accommodations after Contractor makes a reasonable effort to satisfy the guest’s needs, the guest may immediately cancel their reservation without incurring any charges. All rooms booked by the Department of Natural Resources must be nonsmoking rooms. 1.3 Check-In. If rooms are not available for the required check-in time, the Contractor must provide a secure room to store luggage until the rooms are ready. 1.4 Check-Out. The Contractor must provide a secure room for event attendees to store luggage in between check-out and the end of the event activities. After awarding the contract, the Contractor and the State may agree to a late checkout.
