a. Conduct meetings with new hires and current staff at various District locations to explain all options under the Benefits Program and follow-up with those employees unable to attend. Provide, at a minimum, thirty (30) minute sessions to explain all benefits offered including retirement. Information must be accurate and detailed. b. Enroll all employees electing to participate in the Benefits Program to include, but not be limited to, the Public Employees Benefits Authority (PEBA) and supplemental benefits. Contractor must be trained in all aspects of PEBA’s Benefits Administrator Manual. c. Provide a representative for on-site training of any new District staff responsible for benefits. d. Follow-up with employees to ensure decisions are made in a timely manner regarding different benefits offered. e. Provide a toll-free telephone number for enrollments, claims, and/or questions. f. Conduct employee surveys and provide survey results, in writing, to the District. Survey shall include but not be limited to representative’s knowledge and service. g. Be responsible for providing accurate and timely information which interfaces with District software (CSI – SmartFusion). Contractor must work with Harris Integrated Solutions which owns CSI – SmartFusion. h. Communicate District policies, special programs, etc. Communication will include cost/benefit options, cost calculations for options (pre and post-tax), supplemental coverage options and highlights of issue deadlines and other policies and procedures as identified and/or requested by the District. i. Assist in the design of proposed insurance plans the District may choose to include as a part of the Benefits Program and negotiate for proposals to underwrite each such insurance plan and help to analyze the proposals received from prospective carriers. j. Periodically review with the District and each carrier the insurance plans being offered to the employees as part of the Benefits Program.
