2. Scope of Work The successful bidder will supply fleet fuel cards to enable the County to efficiently manage fuel purchases, track consumption, and control fuel expenses. The required services includes, but is not limited to: 2.1 Fuel Card Services 2.1.1 Provide fuel cards usable at a wide network of fuel stations across the region, including major national chains, local stations, and card-lock locations 2.1.2 Ensure secure, efficient transactions for a diverse fleet of vehicles. 2.1.3 Allow customizable parameters and limits on each card, such as fuel type (e.g., gasoline, diesel), maximum spend, and specific timeframes for usage. 2.1.4 Assign unique cards to specific assets and provide level-3 data capture per fuel location, date, time, fuel type, quantity, price per gallon, total cost, and odometer reading. 2.1.5 Provide a secure and convenient method for emergency fueling needs. It is further intended the agreement shall be automatically renewed for two (1) successive one (1) year period, upon the same terms and conditions unless either party notifies the other in writing of their intention not to renew, ninety (90) days prior to the expiration date of any successive one (1) year period. 2.2 Integration with Faster Web 2.2.1 The fuel card system must integrate with the County’s Faster Web fleet information management system 2.2.2 Faster Web integration will be used to import vehicle fuel data as listed in section 2.1. 2.2.3 Provide detailed integration documentation and collaborate with the County’s IT and Fleet Services teams for a smooth integration. 2.2.4 Cover all integration costs as part of the bid. 2.3 Data Security & Compliance 2.3.1 Ensure that all transactions and sensitive data are encrypted and compliant with industry standards. 2.3.2 Maintain robust security protocols to prevent unauthorized use or data breaches. 2.4 Customer Support & Account Management 2.4.1 Provide dedicated customer service and account management for assistance with card issuance, card management, and troubleshooting. 2.4.2 Provide 24/7 emergency support for card-related issues or fuel procurement concerns. 2.5 Card Maintenance & Replacement 2.5.1 Provide prompt replacement of lost, stolen, or damaged fuel cards. 2.5.2 Enable easy modification to card settings (e.g., spending limits, deactivation) via an online portal or customer support team.
