A. Catering Requirements: 1. TCEQ will provide a final guarantee of the number of guests for event orders three (3) days prior to the event. 2. Contractor shall submit a menu with pricing that includes morning (continental breakfast) and afternoon break packages as well as individually priced items (a la carte). 3. Contractor’s menu must describe what is included in the break packages. 4. Contractor shall also provide menu with pricing for vegetarian, vegan, and gluten free options that will be available to attendees upon request. 5. TCEQ reserves the right to select break packages and a la carte items from the Contractor’s menu. 6. Contractor shall serve food and beverages in the exhibit hall. TCEQ typically designates four break stations in the exhibit hall. Contractor shall distribute the servings equally among each of the break stations designated in the exhibit hall. 7. Contractor shall utilize local growers for produce and fruit (when available). 8. Morning Break (Continental Breakfast) a) Contractor shall provide morning break food and beverage items on both days of the event. There are typically two morning breaks on each day of the event. Estimated quantities for morning break are 1,400 servings at 7:30 am and 1,400 servings at 9:00 am on both days of the event. TCEQ reserves the right to schedule serving times based on the event schedule. Actual serving times and quantities for the two morning breaks on each day of the event shall be reflected in the event orders. b) Upon request from meeting planner, Contractor shall replenish beverages. Coffee will be refreshed at approximately 9:00 am. c) Items included in Morning Break for both days: 1) Beverages may include coffee (regular and decaffeinated) with associated condiments (cream, sugar, etc.), hot tea, water (in large containers), fruit juices, and soft drinks (assorted cans). 2) Food may include breakfast breads & donuts, breakfast tacos, breakfast sandwiches, fresh sliced fruit (in season), and individually packaged yogurt servings. 9. Afternoon Break (Snack Break) a) Contractor shall provide afternoon break food and beverage items on both days of the event. There is typically one afternoon break on each day of the event. Estimated quantities for afternoon break are 1,400 servings at 2:00 pm on Tuesday and 1,400 servings at 1:00 pm on Wednesday. TCEQ reserves the right to schedule serving times based on the event schedule. Actual servings times and quantities for the afternoon breaks on each day shall be reflected in the event orders. b) Contractor shall propose an afternoon snack package and a la carte items that include an assortment of baked goods and low calorie/low carb items. Snack items may include assorted cookies, individual ice cream treats, brownies, pretzels, whole fresh fruit, assorted nuts, popcorn, soft drinks (assorted), coffee (regular and decaf), and large water containers.
