The Kansas Department of Wildlife and Parks is seeking to establish a multi-vendor award contract to provide on-call well maintenance and repair services for all associated infrastructure, ensuring the continuous and efficient operation of the well system on properties managed by the Kansas Department of Wildlife & Parks (KDWP) in Southwest Kansas on an as needed basis. The contractor will be responsible for responding to maintenance and repair requests promptly, performing necessary inspections, and executing corrective measures as needed to maintain the integrity and functionality of the well and its associated infrastructure. It is our intent to award multiple contracts due to the large geographical area that will be covered and the amount of time that will be required to complete multiple projects across this area. The contractor should bid on any geographical area and maintenance/repair methods they are interested in being considered for. All equipment, materials and parts will be supplied by the vendor, unless prior arrangements are made with the Wildlife Area Manager. Some materials may be supplied by KDWP on certain projects. For this reason, prices will be listed for materials separate from labor to account for any of these instances. Please see the “Costing Sheet” section for details. The contract will be for a one-year term, starting from the date of award in 2025. The contract can be renewed for up to two (2) additional two-year terms with mutual agreement between the vendor and KDWP. It may be possible to increase bid prices by up to 5% at each renewal. The contract may be terminated by either party upon forty-five (45) days prior written notice. Any supplier responding that meets specifications will be considered. Multiple contracts may be awarded, and being awarded a contract does not guarantee that projects will be available. The supplier must be available within 3 days of request. If that supplier is not available within that time period, KDWP may schedule a project with another contractor who was awarded a contract, even if it is at a higher price. The contract is based on an as needed basis and funding availability of KDWP. Most of the wells expected to be maintained/repaired will be located in sandy conditions with varying topography
