Task 1. Project Management Task 1.1: Project Management Plan & Administration The CONSULTANT will prepare a detailed Project Management Plan (PMP) that identifies specific tasks, deliverables, roles/responsibilities, staff time/resources, communication protocols, and a schedule. The PMP is an active document, intended to guide the successful delivery of the project and to be refined as needed. For preparation of the PMP, the CONSULTANT will produce: • Project Schedule: highlighting deliverables, meeting types/dates, public engagement opportunities, key milestones, and anticipated Project Management Team (PMT) and Technical Advisory Group (TAG) meetings. • Project Budget: utilizing the MAG Labor Cost Allocation Budget template, detailing the budget by personnel and task for all consultants and project reimbursables. • Project Management Team Roster: identifying membership, roles and responsibilities, and detailing workflow relationships with MAG staff. • Technical Advisory Group Roster: identifying membership, roles and responsibilities, and detailing workflow relationships between the project team and the TAG. The TAG will be comprised of project stakeholders, including staff from MAG member agencies. • Interagency Coordination Plan: describing communication protocols, mutual goals, process improvements, timely commitments, and an approach to conflict resolution. • Quality Assurance/Quality Control Plan: identifying a continuous QA/QC process, applied daily as workflows from desk-to-desk, discipline-to-discipline, and from consultant-toclient. The CONSULTANT is expected to utilize this QA/QC process on each deliverable to deliver a high-quality plan on schedule and within budget. MAG conducts extensive internal reviews of deliverables; therefore, the project schedule should include adequate time for MAG and, when applicable, TAG review of deliverables. Task 1.2: Data Management Plan and Tracker The CONSULTANT will create a data management plan for review and comment for the initial data collection process. This task includes preparing and disseminating a detailed list of data collection items to be requested. This list will be used to track data requests throughout the project. The plan will be updated as needed over the course of the project. Task 1.3: PMT Project Coordination Meetings The CONSULTANT will prepare agendas for and attend bi-weekly PMT meetings to discuss progress, upcoming tasks with clearly defined action items, schedule, budget, draft deliverables, and general project coordination matters. The CONSULTANT will record meeting notes for each PMT meeting. It is anticipated that bi-weekly PMT meetings will occur virtually over the study process.
