Goals • Document all DRS pension knowledge • Improve and standardize the end user experience to make it efficient and user-friendly • Meet current and future knowledge management needs through scaling of tools. • Keep systems and documentation update to date • Enable continuous improvement based on user feedback in a variety of manners Capabilities • Cloud-Based. The solution must be accessible from a web browser. • SSO/Federation. DRS desires the solution to support single sign-on through Azure Federation (SAML 2.0) • Group Policy. DRS desires the solution to grant user roles and permissions based on Group Policy. • Role Based Access Controls/Permissions. The solution must allow DRS to restrict who can view knowledge management articles by setting roles and permissions. • Dynamic Content. DRS desires that the solution displays contents of knowledge articles dynamically according to user role (i.e. a Supervisor/Lead sees additional procedure steps that their direct report does not see within the same knowledge base article). • Accessibility. The solution must support assistive technologies, screen readers, supports Section 508 and WCAG. • Branding. The solution must provide sufficient branding and theming options to fit within the DRS style guide. • Modern UI. The solution must have modern User Interface (UI) features to help users easily perform searches and locate relevant help articles quickly. • Taxonomy and Ontology. The solution must allow DRS to create and maintain a hierarchical document topic structure. • Modern Search. The solution must support the use of natural language to produce accurate search results. Search optimization is deep and multifaceted using modern technology. • Publishing Tools. The solution must allow DRS to create publishing workflows with approval queues, automated routing, and configurable document review reminders. • Versioning. The solution must maintain document version histories and change logs. • System Administration Tool. The solution must offer a tool or dashboard to monitor system performance, health, and data/document growth. • Import/Export. The solution must allow DRS to import and export knowledge management articles in a variety of formats such as docx, pdf, and txt. • Embedding. The solution must allow content creators to embed multimedia assets including images, audio clips, videos, and animations. • Hosting. DRS requires that embedded multimedia assets must reside within the solution or on DRS storage and not rely on external video hosting services such as YouTube or Vimeo. • COPE. DRS desires a solution that supports the concept of ‘Create Once, Publish Everywhere’. • Multitenancy. DRS desires a solution that allows for multiple instances of the platform to exist with a centralized admin console (e.g. DRS facing help site and Employer facing help site). • Secure. The solution must meet the security and privacy standards described below. • Recoverable. The solution must have backup and disaster recovery capabilities and protect against accidental or malicious deletion or corruption. • Feedback. The solution must provide users with multiple avenues to give feedback to content creators.
