2.1 General Scope The NYS Community Commission on Reparation Remedies holds public meetings and town hall discussions at various venues across NYS to discuss with the public the Commission’s work and progress. This contract is crucial for transparency of the Commission’s work and to help build trust and encourage engagement from communities. The Contractor will be expected to participate in preplanning of events, including phone calls and virtual meetings. The Contractor is required to travel to and be on-site for each event. The Contractor should support the Commission’s commitment to transparency and engagement by ensuring all audiovisual elements align with the mission and values of the NYSCCRR. 2.2 Scope Requirements 2.2.1 On-Site Audio and Visual Management A. Deliver high-quality audiovisual services, utilizing advanced audiovisual equipment, for public hearings, business meetings, and community events, ensuring seamless audio, video, and streaming services. B. Design and execute audiovisual setups that enhance the presentation of testimony, discussions, and insights during hearings and events. C. Live stream via Zoom is required. D. Ensure clear and effective closed captioning is available during live events. 2.2.2 Recording and Production Support A. Record, produce and edit each event. B. Recordings of each event must be shared with the Commission no later than two to four business days post-event. C. Ensure clear and effective closed captioning is used for recorded events. D. For public access and archival purposes, recordings of each event must be made available in standard video formats to be used on video hosting channels such as Vimeo and YouTube
