The selected vendor will be responsible for the following: ● Assessing our current phone system and infrastructure. ● Providing recommendations for the new phone system, including hardware, software, and implementation plan. ● Procuring and configuring all necessary equipment, including desk phones, conference phones, and any additional hardware. ● Installation and setup of the new system, including integration with existing software and network infrastructure. ● Additional wiring as needed. ● Technical training provided to district Technology Department prior to the start of the 2025-26 school year. ● User training sessions to ensure smooth transition and adoption of the new system. ● Ongoing 24x7x365 technical support and maintenance services post-implementation. ● Solution architecture can be hosted or on-site, however cloud hosted is preferred. System Requirements: Required: ● To provide a unified phone system throughout the district. ● Become compliant with and deliver consistent e911 services to all buildings. ● Offer 10 digit dialing from all stations. ● Provide ability for outside dialing directly to extensions. o Port existing numbers and extensions. ● Port call routing for all “main numbers”. ● Unified communication features, including voicemail and ability to send voicemail to SMTP server. ● Scalability to accommodate future growth and expansion. ● High reliability and uptime with redundant failover mechanisms. ● Advanced call routing and auto-attendant functionalities. ● Comprehensive security features to safeguard sensitive information. ● Replace or add wiring wherever necessary. ● Be cost effective and utilize appropriate technologies. ● Full administrative access to systems
