The awarded Maritime Booking Agent will be responsible for managing the following: • Vendor Recruitment • Land and Marine Operations • Boat Parade of Lights • Historical Elements/Reenactments • Children’s Bike and Wagon Parade • Education and Art Exhibits • Sandcastles • Tugboats • On-Site Management o Management duties to include developing a scope with the Mayor’s Office, meeting/call schedules, agendas, planning timelines, budgeting, expenses, contracts for labor and materials, permits and licenses, planning and staffing, event milestones, and final accounting. Event Planning may include the development of events and programming of the shows, making sure the entire team is prepared and briefed on all aspects of the events, insurance certificates and permits are in place, supervising of set up and break down of activities, Quincy400 brand is posted online, event signage and branding is on time with event schedule, manage vendor arrivals for set up, create emergency response protocols and weather contingency plans, and manage on-site communications. Boat Parade of Lights/Marine Operations • Liaison with Safe Harbor Marina Bay, government agencies as necessary including the Coast Guard, Quincy Dive Team, etc. • Research and procure all necessary marine event permits • Draft and implement vessel berthing plan if needed • Recruit 15-20 participant vessels with support from Safe Harbor Marina Bay • Draft and develop “Captains” Manual for vessel participants • Purchase and distribute lights for all boats • Draft and implement vessel berthing plan if needed 4 • Host a Q & A zoom or in-person meeting with participating vessels
