Phase One The following is a detailed description of the proposed work plan to accomplish Phase One of this project. Task 1: Naming Rights and Sponsorship Valuation a. Conduct a kickoff meeting with the Town’s Naming Rights/Sponsorship Evaluation Committee to discuss the project background and roles and responsibilities, exchange pertinent information, and define the project goals. b. Research and review existing naming rights/sponsorship agreements at similar local, regional, and national facilities. c. Determine the potential for naming rights and sponsorships, including but not limited to exterior signage, interior signage, website, social media, etc. (this will include wayfinding signage at the Town Center) d. Document the potential challenges or issues for naming rights and/or sponsorships and your strategy to mitigate them. e. Provide a formal written report summarizing the findings to include the potential and recommended value for naming rights and sponsorship agreements. Task 2: Development of Solicitation/Promotional Package a. Meet with Town staff to gather their perspectives and goals. b. Create a draft promotional package. c. Meet with Town staff to review draft materials and coordinate the development of a final draft package. Review and gather feedback from Town staff (and possibly town council) on final draft package prior to release. Phase Two The following is a detailed description of the proposed work plan to accomplish Phase Two of this project. Task 1: Meeting with Potential Partners a. Meet with Town staff to create a list of potential partners (donors/sponsors) and schedule initial meetings. b. Solicit additional potential partners based on knowledge of the local and regional market. The Town wishes to maximize the quantity and quality of proposals to secure the best naming rights and sponsorship agreements. c. Meet with Town staff and potential partners to discuss proposals/opportunities. d. After the final potential partner meeting, provide formal written report summarizing partner meetings/proposals and recommending partner(s) for naming rights and sponsorship agreement awards. Task 2: Agreement Negotiations a. Meet with Town staff to review draft naming rights and sponsorship agreements and provide feedback to ensure an equitable agreement that represents the Town’s best interests. (Attorney review to follow) b. Meet with Town staff and selected partners as necessary to negotiate naming rights and sponsorship agreements. c. Participate in Town Council meetings/workshops as necessary to support the project and recommendations thereof. Phase Three The following is a detailed description of the proposed work plan to accomplish Phase Three of this project. Task 1: Activation of Agreements a. Work with Town staff to execute all assets as outlined in naming rights/sponsorship agreements. b. Assist with selection of vendors, review signage plans and manage installation of all branding (including wayfinding for the Town Center) c. Oversee all activation and fulfillment of agreements to ensure uniformity of execution. d. Be present at installation activations that need to be supervised. Task 2: Follow-Up Solicitation a. Follow up with solicitation partners that expressed interest in naming rights but were unable to successfully execute an agreement to see if they have interest in sponsorship assets that can co-exist with the naming rights agreement thus increasing the total revenue yield.
