The minimum requirements of the proposal follow: 1. Vendor shall provide odor controlling/neutralizing scents acceptable to the Owner. 2. Vendor shall provide necessary tubing and physical product support as required to physically support scent bottles and equipment. Owner shall approve the Vendor’s installation prior to any installation. Vendor may be asked to provide a mock-up of an installed scent solution to demonstrate hanging methods, injection strategy, etc. 3. Vendor shall be solely responsible for maintaining scent level/quantity to ensure scent solution does not deplete prematurely nor expire. No scent solutions shall be stored at Owner’s site without the express written consent of Owner. It is the expectation the Vendor will provide frequent site inspection to inspect scent solution levels and replenish/replace as necessary. 4. Vendor shall promptly replace any faulty equipment within 48 consecutive hours after being noticed via telephone, e-mail, or other to include IoT devices providing real-time status and updates. 5. Vendor shall immediately clean all scent contamination (i.e. spills, faulty injection in ductwork or units, etc.). Any contamination not remediated to the satisfaction of the Owner will result in Owner remediation and cost recovery from Vendor. 6. Vendor shall not dispose of any product, parts, or materials in Owner owned trash. Vendor shall remove all items requiring disposal from Owner’s property(ies) and legally dispose. 7. Vendor shall train Owner in operation of the scenting equipment so Owner can, with the approval of Vendor, adjust scenting strength as it deems necessary. 8. Vendor shall maintain ownership of equipment and, if noticed, promptly remove all equipment. 9. Vendor shall provide its proposal delineated by property. Vendor will be awarded all properties; property delineation shall be used for billing purposes. 10. Vendor shall be allowed to conduct the work of this scope between the hours of 0600 – 1200 (noon), Monday thru Friday. With Owner approval, the following are excepted: a. Replacing failed equipment. b. Changing scent(s). c. Other as may arise. 11. Total volume of air (approximate, +/-10%) to be treated (scented) by property is provided in the bid attachments. 12. Qualifications: a. Proposing firm shall have been in the business of “odor neutralization and scenting” for a minimum of the three (3) previous years. b. Proposing firm may be requested to provide three (3) client references during the previous three (3) years. c. Proposing firm shall have or shall put in a place, within 30 days from award, a local (Tulsa area or as agreed to) technician to service this contract.
