Specifications include, but are not limited to: The selected contractor will be responsible for providing a comprehensive range of Heating Ventilation and Air Conditioning (HVAC) repair and maintenance services under an indefinite delivery and indefinite quantity contract. These services may include but are not limited to: HVAC system installation, repair and replacement of components such as capacitors, ductwork, thermostats, and fans, cleaning of units, inspection, testing, adjusting, balancing, and ensuring proper functioning of HVAC systems, attending to any other HVAC-related work, and providing emergency services as needed to maintain system integrity. 1.1. Service Availability: The Contractor shall have a trouble-call service available 24 hours a day, seven (7) days a week basis with a response time, via phone call, not to exceed 24 hours for non-emergencies and two (2) hours for emergencies. An emergency is defined as a situation where immediate attention and repair are required to ensure the safe and proper functioning of the heating or cooling systems. Emergencies may include situations such as complete loss of heating or cooling during extreme weather conditions, gas leaks, carbon monoxide leaks, severe water leaks, or any issue that poses a significant risk to the occupants' health and safety or could cause extensive damage to the property if not addressed promptly. The City has the final authority in determining an emergency call. 1.1.1. Hours of Service: A. Normal Service Hours: 7:00am to 5:00pm Monday through Friday B. After-hour Service Hours: 5:01pm to 6:59am Monday through Friday C. Weekend and Holiday Service Hours: 12:00am to 11:59pm 1.2. Project Assessment: Each project estimated not to exceed the $15,000.00 Special Project threshold will be individually assessed and quoted by the Contractor in collaboration with the Facilities Maintenance Supervisor or designee. The Contractor and City personnel shall meet at the worksite where HVAC services is to be performed for a Project Assessment Meeting. During this meeting, both the Contractor and City representatives will conduct a thorough site walk to identify and assess the scope of work. The City and Contractor will align on the estimated hours and materials to complete the project.
