Specifications include, but are not limited to: Air Transportation Ability to secure reservations, seat assignments, issue tickets and boarding passes. Ability to negotiate with the air carrier(s) to obtain the best airfare possible; guarantee the Department is provided with the lowest fare for a specific trip (unless waived under special circumstances). Ability to make adjustments for any change(s) in flight schedules. Ability to process cancellations, and remitting and distributing refunds where necessary. Ability to notify travelers of airport closings, and cancelled or delayed flights. Ability to provide customer support for travelers via a toll-free number and contact for emergency requirements 24-hours a day, 7-days a week. Hotel Accommodations and Ground Transportation (out-of-state car rental only) Ability to secure reservations for hotel accommodations and ground transportation. Ability to negotiate the best rate possible for a specific trip (unless waived under special circumstances). Traveler Itineraries Ability to provide each traveler with a complete, written trip itinerary of the following: Air carrier(s). Departure and arrival time(s) for each segment of the trip. Listing of hotel and ground transportation, with the corresponding reservation numbers, and the start and end date of the reservation. Upon request, provide a room list. Management Reports Ability to provide monthly travel usage reports.
