Specifications include, but are not limited to: Phase 1 Review existing document management practices for City departments Evaluate existing document storage locations • Within each department at City Hall at 245 deKoven Drive • At city-owned properties at 245 deKoven Drive, 499 Mile Lane, and 180 Johnson St (Remington Rand). Work with City leadership on Policy development Assess spaces for centralized document management efforts Provide training to City departments on proper document management procedures Coordinate moving of all off-site documents to central location Work with Technology Services on electronic storage hardware, software and processes. Must have extensive experience with Box, ArcGIS, Onbase and other possible network storage solutions. Phase 2 Perform the following for all City Hall departments: • Document management • Records retention • Document disposal in accordance with State Library requirements • Digital conversion and scanning in accordance with City best practices, Connecticut FOI standards and State Library standards Phase 3 Migration of all documents to new City Hall site Implement document management program in conjunction with Technology Services Develop paperless procedures for City functions
