Specifications include, but are not limited to: A. Preventative Maintenance: I. Cleaning and preventative Maintenance (PM) of three (3) oil-fired one hundred twenty-five gallon (125-gal) commercial water heaters, four (4) oil-fired eighty-four gallon (84-gal) commercial water heaters, ten (10) oil-fired boilers, and one (1) oil-fired dual burner pool heater. The following is to be completed on site at 1380 Marshall St, Hagerstown, MD 21740 with a licensed Journeyman HVAC Technician present during all maintenance: a. *The Contractor must conduct a site visit during July of each contract year in order to develop a list of parts/equipment to be ordered prior to initiation of services in August. b. Cleaning and firing of hot water boilers to be completed between August 1 and September 30 yearly. c. Remove all clean outs on fire side of boiler. d. Flue tubes and baffles to be removed for cleaned and inspected for damage (domestic hot water boilers shall include disassembling and cleaning flues). e. Thoroughly brush and vacuum flue passageways. f. Remove burner to access fire box. g. Thoroughly brush and vacuum fire box. h. Remove drawer assembly, clean and inspect for damage(s). i. Remove oil burner nozzle and replace with new nozzle(s). j. Remove oil filter and replace with new filter(s). k. Remove pump screen and replace with new screen. l. Remove flue vent stack, clean and inspect for damage(s). m. Check all safeties and verify that they are all functioning properly. n. Potomac Center’s maintenance staff to inspect boiler(s) prior to installation of clean outs. o. Reassemble boiler, set nozzles and ignitors to factory specifications, test fire, and provide Potomac Center’s Maintenance Supervisor a copy of efficiency/combustion report. p. Any additional parts (ignitors, gaskets, etc.) needing immediate replacement to allow for proper operation of boiler will be approved as needed by the Potomac Center’s Maintenance Supervisor. q. For each boiler, provide the Potomac Center’s Maintenance Supervisor a list of recommend maintenance items and/or repairs that fall outside this solicitation’s scope of work; include a quote for these recommended maintenance items and/or repairs, should the Offeror be utilized for these services at a later date (See Section C below). r. All used parts will be returned to Potomac Center for Inspection. s. Drain Expansion tanks associated with each heating boiler. t. The Contractor shall be responsible for, and make repairs to, all damages caused to the building or property, including grounds, as a result of the services they are performing. II. Unit Information: a. See Exhibit B (Boiler and Hot Water Heater Data) for equipment lists containing the sizes and capacities for all equipment to be serviced under this Contract. b. All equipment is located in the boiler rooms of ten (10) individual single-story buildings on site. c. Each single-story building sits approximately one hundred (100) to two hundred (200) feet from one another other in a loop around the facility campus. d. All boiler rooms are located on/accessed from the ground floor with easy access directly off the parking lot for each building. e. The Contractor will be able to access each building with a service vehicle. III. Preventative Maintenance is required once annually; this is a three (3) year contract, so the PM will be for August/September 2024, 2025, and 2026. a. Note that the Contractor must perform a site visit in July of each year in order to develop a list of parts to be ordered prior to PM services initiating (see item A.I.(a) above).
