Specifications include, but are not limited to: Provide online registration and payment platform to be used in the 2025, 2026, 2027, 2028 and 2029 Children’s Law Institute conference. Registration platform should be customizable and allow for specialized fields, group registrations, different payment amounts, and payment methods. This will allow NMSU and other community planning partners to keep track of the people who have registered, and keep track of incoming payments for attendees, sponsored groups, presenters and exhibitors. Vendor will handle all online payments and send funds received to NMSU monthly. Vendor will process any partial or full refunds to participants upon request of NMSU Staff. Provide an online conference platform that holds conference schedule, workshop and presenter details and other event related details including links to session evaluations and continuing education documentation forms. Platform will allow participants to pre-select their sessions, both for in person and virtual offerings to give them a personalized schedule for the event. Platform will give access to any live virtual sessions, have the ability for participants to download participant handouts and will also record virtual sessions for later viewing. Online conference platform will be mobile device accessible and/or accompanied by a conference mobile app that provides the same information. Conference platform will also allow for a space for speakers to upload session handouts, PowerPoints, workshop descriptions, headshots and biographies directly into the platform during the planning stage Vendor will provide training and ongoing technical assistance to NMSU Staff on platform and registration system development and implementation and will be available to NMSU Staff to troubleshoot any issues throughout the planning phase and during the event. Vendor will provide event support for all virtual sessions, ensuring that participants have access and that sessions are accurately recorded and accessible after the event.
