Specifications include, but are not limited to: 3.1.1 The service provider shall provide armored car services daily to APS’s designated locations, Monday through Friday, and times specified herein, except for APS’s observed holidays and deliveries of bank deposits to the appropriate financial institutions. i. Elementary Schools – Tuesday Pickups – 7:45 am – 2:45 pm ii. Middle Schools – Thursday Pickups – 8:50 am – 4:15 pm iii. High Schools – Monday and Thursday Pickups – 8:15 am – 3:45 pm iv. Central Offices – Friday Pickups – 8:00 am – 5:00 pm v. Special Events – On-Call Pickups – 8:00 am – 5:00 pm 3.1.2 The service provider must allow at least fifteen (15) minutes for each scheduled pick-up at each designated location before additional charges may be assessed. 3.1.3 The Service provider will pick up bank deposits of cash and checks in the designated financial institution's tamper-evident bags from designated APS locations at specified times. 3.1.4 Each bag will be marked with the location, designated financial institution, and total bank deposit per bag. 3.1.5 All bank deposits must be made within 24 hours of the pick-up. Bank deposits shall be delivered to the following designated financial institution: Bank of America Atlanta, GA 3.1.6 In the event a pickup is going to be late or missed, APS must be notified of the location as soon as the delay is known. If the service provider fails to pick up a scheduled deposit, the service provider shall make a special run as requested by APS at no extra cost. 3.1.7 The service provider shall not assess an additional charge if a school or central office location fails to have one of its deposits available for pick up at the designated time, and the bag(s) are carried forward to the next pick up. 3.1.8 Any pick-ups suspended by the service provider due to an act of Force Majeure shall not be invoiced to APS. The service provider is not required to pick up on days for a particular location that is closed due to weather-related emergencies. APS will notify the provider on a case-by-case occurrence. 3.1.9 The service provider must retain the original receipt for no less than five (5) years, as well as the ability to provide deposit tracking for the same five (5) year period. The service provider is solely liable for the security and contents of the deposit bag(s) once the school or CLL personnel releases the sealed bags to the service provider’s carrier personnel. 3.1.10 At the time of deposit delivery to the bank by the service provider, the provider must sign and retain a copy of the time stamped on the bank’s delivery receipt(s) as proof of deposit bag delivery by the service provider. An APS staff member or APS external or internal auditor may request a copy, and the service provider shall provide a copy of the deposit bank’s delivery receipt at any time within five (5) years of the deposit pick-up date.
