Specifications include, but are not limited to: • Initial site-based sanitation, food safety and site safety in-service training. • Site visit for food safety audits should occur at least every six weeks for schools in operations through the year (including summer program). Training that is applicable toward the School Nutrition Association (SNA) Professional Standards Requirement is preferred. • A computerized food safety and sanitation audit for each site visit incorporating Jefferson County Public Schools (JCPS) Nutrition Services HACCP Processes approved by the Administration is to be conducted during each site visit. The ability for an electronic report for each site to be sent to all designated management. Reports include date and time spent at each site, non-compliance observations, and a brief description of the training and services provided. Observations of critical deficiencies are to be submitted to the Coordinator immediately. • Provide an in person bi-annual Food Safety/HACCP summary to the Administrator and area Consultants. • Awarded vendor provides direct delivery of sanitation chemicals, training material, gloves etc. to each site. • Awarded vendor representative ensures all necessary Safety Data Sheets (SDS) for all products are posted in each site in accordance with OSHA’s Hazardous Communications Act. Awarded vendor representative ensures all instructional signage are posted throughout the food service area. • Awarded vendor representatives MUST be certified to teach the National Restaurant Association ServSafe Manager and Employee courses. Successful bidder must submit a copy of certifications. • Awarded vendor representatives MUST have U.S. Department of Labor 30-hour OSHA Awareness Training Certification and be qualified to teach the OSHA Mandates. Successful bidder must submit a copy of certification. • All signage, instructional materials, support materials, bottles, containers, etc. shall be in English and Spanish. All equipment shall also be labeled with instructions in the before-mentioned languages. • Awarded vendor shall have an inventory management system which will maintain inventory supplies of all needed materials delivered to sites without need of additional purchase orders, requisitions, or receiving tickets by the district. Vendor shall maintain par levels adequate for individual site needs and provide service on schedule ensures there will be no disruption of service or compliance • Awarded vendor agrees to a 48-hour response time to any location with re-supply needs or technical needs. • An implementation of a complete program to each site to be completed within thirty (30) working days of bid award. The vendor must provide a system "Go-Live Plan" that minimizes the impact on the District’s day-to-day operations. The vendor must detail plans for staging and rolling out the system including parallel operation with existing systems as to not incur a disruption in operations. The District will assist the vendor in executing the roll-out. The plan shall include sufficient support staff to ensure business continuity with no interruption to SCNS activities. • A trial period of 60 working days will be imposed for the awarded vendor. The trial period will include all materials and terms listed in the contract, site visits to all location a minimum of every two weeks to ensure comfortably and compliance with the implemented sanitation program and, a food safety audit for all sited with electronic report shared to the designated Administration. Administration will have the opportunity to obtain feedback from sites related to the effectiveness, efficiency, and usability of the implemented sanitation system. An evaluation of the trial period will take place immediately following the 60 days. If the trial proves unsuccessful, the vendor agrees to continue service for an additional 60 working days or until another service provider is secured.
