Specifications include, but are not limited to: (1) All digital photocopiers or printers proposed are for rent. They should co-term with an ending date of 07/01/2029. (2) Contracts for devices will not overlap with existing contracts except as is necessary for delivery/installation. (3) Billing for all devices will be centralized to one County billing office, broken out by department or location, and forwarded to one point of contact as designated by the County. (4) At the end of the rental period, the vendor is required to either dispose of any internal storage drives in the devices, or provide certification of destruction/sanitization of those storage drives. (5) Proposals should be based on standard configuration of the device as delivered. Ala carte pricing for accessories and/or finishing components should be provided for each proposed device (e.g., additional trays, fax boards, etc.) These accessories should not be included in the base pricing requested from the lot list. (6) The vendor will provide to the County quarterly a report of all deployed devices and average monthly use identified by unique machine ID and location. (7) All devices must be able to be used as a printer over TCP/IP with Windows 10 or Windows 11 compatible drivers. Solutions not requiring a software agent are preferred. (8) Standard electrical 110 (note exceptions on exceptions page). (9) Preference is the devices be capable of color scanning, preferably PDF, to email without workstation software. (10) Indicate whether the associated maintenance costs are calculated per scan or per physical print and what is and is not included in maintenance
