Specifications include, but are not limited to: 2.1. Sell essential linens/bedding and accessory dormitory items to residents and parents as requested. 2.2. Sell a variety of care packages such as welcome, birthday, finals week, Valentine’s day, Easter, holiday/celebration type packages. 2.3. Provide a path for customers to purchase directly from the vendor with a percent of net sales paid to University. Such to include a build out of an online, custom UO site for the catalog of dorm room essentials and accessories. University is also interested to hear of other added value type incentives that proposer may have to offer. 2.3.1. All digital content, products, and services, including but not limited to software, web pages, ICT systems, and digital documents, that are developed, modified, or provided by Proposer shall comply with World Wide Web Consortium (W3C) Web Content Accessibility Guidelines (WCAG) 2.1 AA and Section 508 Standards (2018 Revision). When requested, Proposer shall provide University with a current, completed Voluntary Product Accessibility Template (VPAT) to detail compliance. 2.4. Supply literature, physical catalogs and customized website with products available to potential customers. 2.4.1. The awarded contractor will provide a draft of all literature to University for approval and edits. 2.4.2. The awarded contractor will remove prohibited items from literature and ensure that they are not available to University student and family customers. 2.4.3. The awarded contractor will send approved literature, include a cover letter and order form to new first-year residents and families in the summer. 2.5. Handle all ordering, inventory and delivery processes including shipping, exchanges, and returns. 2.5.1. Ship the merchandise to the University or student’s residence if requested. 2.5.2. Provide customer service regarding any orders, exchanges, and/or refunds. 2.6. Provide University with a percent of sales as a rebate on purchases made by University customers. 2.7. Annually provide new bedding to stage University showrooms, along with any other University-approved products. 2.8. Ensure that University-supplied mailing lists will not be used or sold for any other purpose. 2.9. Provide reports of sales and commissions as requested by University. 2.10. In collaboration for provision of the Services, University will: 2.10.1. Review and approve of marketing and literature to be sent to potential University customers. 2.10.2. Provide residence hall population numbers and marketing avenues. 2.10.3. Provide a mailing list for the room essential and care package programs. 2.10.4. Link to the awarded vendor’s online store from University Housing website. 2.10.5. Coordinate with University Housing staff for the delivery and distribution of room essentials and care packages. 2.10.6. University Business Office and Residence Hall Association has the right to verify all sales invoices and inventory to confirm net receipts on which commission percentage is based.
