Specifications include, but are not limited to: Task 1. PROJECT MEETINGS Consultant shall provide the proposed location, date and time of all meetings scheduled under this task for approval to APM. APM will provide Consultant with attendee names and contact information; upon receipt of attendee information, Consultant shall send meeting invites and agendas. APM and Consultant will work together to coordinate and facilitate the meetings under this task. Meetings may be held in-person, virtually or by telephone, at APM’s discretion. Both Consultant and ODOT must have Project staff members present at the following meetings: The Project Meetings are as follows: Kick-Off Meeting: 1 Kick-Off Meeting will be held, and the meeting must not exceed 2 hours. At a minimum, the discussion must cover initial Project goals, methods and schedule. Progress Update Meetings: 3 subsequent Progress Update Meetings will be held following the Kick-Off Meeting; each meeting must not exceed 2 hours. At a minimum, the discussion at each meeting must cover the progress and direction of the Project, and Project goals accomplished or still in progress. Region Staff Meetings: 5 Region Staff Meetings will be held for ODOT Region Staff to coordinate with Consultant to obtain Project data for BUD renewal. Each meeting must not exceed 2 hours. At a minimum, the Region Staff Meetings must discuss data, data quality, and determine which project sample data satisfies DEQ requirements for BUD renewal. Deliverables and Schedule Consultant’s proposed location, agenda, and date and time of meetings is due to APM for acceptance (email acceptable) at least 1 week prior to the proposed meeting date. Kick-Off Meeting must be held within 2 weeks of Agency’s issuance of Notice to Proceed (NTP) The final (3rd) Progress Update Meeting must occur no later than 4/30/25. The final (5th) Region Staff Meeting must occur no later than 4/30/24. Consultant shall provide meeting minutes to APM and all attendees within 1 week following each meeting (email is acceptable). 1.1 DEQ MEETINGS Consultant shall provide the proposed location, agenda, and date and time of all meetings scheduled under this task for approval to APM. Consultant shall facilitate up to 3 DEQ meetings to discuss Project goals and progress, and to solicit DEQ input. Topics to be discussed during the initial DEQ meeting must include: Background information BUD renewal scope of work BUD expansion scope of work Statistical methods for evaluating soil data Outlier identification methods Soil sampling protocols Proposed plan for acquiring ODOT sampling data Proposed adjustment for schedule for June 30, 2024 Workplan Deadline After the initial DEQ meeting, Consultant shall meet with DEQ staff to solicit feedback on the draft Workplan (see Task 2) and to discuss the data analysis and findings. ODOT staff will attend DEQ meetings at APM’s discretion. Consultant shall provide meeting minutes for all meetings that take place under this task.
