SIUE requests qualified firms to submit proposals to provide an affordable, flexible and expandable multi-store retail management, POS and e-commerce solution to meet the current and emerging needs of the University. The purpose of this Request for Proposal (RFP) is to provide SIUE with the following: A customizable solution that is designed to efficiently manage and conduct business as individual stores (The Cougar Store campus bookstore and SIUE Athletics retail operations), while integrating back-office functions, including inventory tracking and transfer of products between these two operations. The ability to function with cellular/mobile handheld POS systems is key. Additionally, we are also interested in a vendor that can provide an inventory, check-in/out (potential RFID tag system) and tracking system for our mandatory textbook rental program for all SIUE students. It is the University’s intent to award this contract based on overall value, functionality and benefit to the University and will not be obligated to award to the lowest bidder. Specifications and Requirements: Reporting: POS will need to have the capability to provide a full audit detail report for each cashier. Need to have the flexibility with reporting tools to re-create customer reports. Inventory: need to have daily and yearly inventory tools and reports along with inventory control procedures to verify stock. Access to obtain in-depth trends and sales analysist along with reports Winning respondent/awardee will need to provide their most recent/current SOC2 and PCI-DSS Attestation of Compliance and annually thereafter. Mobile POS system, including ability to use mobile tablets for on and off-site locations. Potential for use of self-service POS kiosks that allow for customers to check themselves out. If stand-alone kiosk, it would need to be cellular, if vendor is the merchant of record and machine is PCI-DSS approved and P2PE solution equipment. Employee management tools, including employee sales information and security management tools. Robust reporting tool, including cost and profit analysis reports and inventory reports CRM tools that allow for maintaining customer profiles and purchasing history, loyalty program/discounts. Ability to offer promotions and discounts quickly and for various lengths of time (i.e. week long promotion, in-game promotion, etc.) Wide range of payment options, including all major credit and debit cards, Apple Pay, Google Pay and Samsung Pay. Potential to use PayPal and Venmo. Ability to generate and accept gift cards.
