The intent of this Request for Proposal (RFP) is to solicit proposals from qualified, experienced, financially sound, and responsible companies to provide services for the University of Kentucky’s Office of Annual Giving for printing, mailing, and fulfillment needs related to its direct mail fundraising appeals. The UK Office of Annual Giving seeks to streamline the direct mail process by identifying a supplier that can produce all of the aspects of a successful direct mail package, including pre-printing, printing, and mailing. This includes high quality offset printing, highly personalized segments and segmentation with variable data, multiple matches of package pieces (i.e., 2-way match, 3-way match), utilization of the best postage rates, outstanding customer service and communication, and strong attention to detail. It is the intent of the University to contract with one supplier to provide printing, personalization, and mailing services for 21 direct mail appeals. The standard direct mail package may include the following components: letter, reply card, reply envelope, outer envelope, buckslip, postcard, and/or non-standard welcome or stewardship package. The resultant contract will be for services related to appeals only; the successful offeror shall not print or mail other materials for the University that are not related to the Office of Annual Giving direct mail appeals. Attachment A shows planned appeals and related projects that may be executed by the successful offeror. The Attachment includes all specifications, quantities, requirements, etc. for each appeal. The financial offer requested of the Offeror will mirror the requirements of the Attachment A appeals, i.e., it shall consist of the Offeror’s pricing for each appeal event. Attachment B is a table of designs and quantities for each of the 21 direct mailing appeals. This matrix clearly illustrates the total quantities and types of artwork needed to be printed for each individual appeal.
