Specifications include, but are not limited to: Contractor ‘s solution shall satisfy the following requirements during the term of the contract–this includes both hardware and software (either leased or purchased): 1. Security and Compliance ● Payment processing - The POS system needs to accept a variety of payment methods, including credit cards, mobile payments, and contactless options ● Integration - Contractor must provide testing and certification of integration for the following payment methods: ■ Europay, Mastercard, Visa (EMV), Swipe, and Contactless ■ The full array of common RFID and Near Field Communication (NFC), contactless. solutions including, but not limited to: tap and go, mobile wallets, Android Pay, Apple Pay, and Samsung Pay ● Security and compliance - The POS system needs to comply with industry standards and regulations, such as Payment Card Industry Data Security Standard (PCI- DSS), to safeguard sensitive information. This includes features like end-to-end encryption, user access controls, and data backups to ensure data integrity and protect against cyber threats ● Data security and PCI compliance - upon written request, the Contractor shall provide a current PCI Attestation of Compliance (AOC) for State of Utah PCI Coordinator annually for any services that is PCI-DSS compliant. Contractor hardware and applications must maintain PCI compliance including Payment Application Data Security Standard (PA-DSS), Pin Transaction Security (PTS), and Point to Point Encryption (P2PE), as applicable for the hardware and/or applications. ● Mobility and cloud support - allow access to the POS system from anywhere, enabling on-the-go management and reporting. Cloud-based POS systems offer the advantage of automatic updates and data synchronization, reducing maintenance efforts 2. Contractor solution must provide the following product features: ● Inventory management - must allow tracking of inventory in real-time, set automatic reordering, manage suppliers, and categorize items for better organization ● End-of-day reports - must provide end-of-day reports for cash reconciliation purposes. These reports should include detailed summaries of all transactions processed throughout the day, including sales totals, payment types, refunds, voids, and any discrepancies ● Customization - must have the ability to customize menus, pricing, and user permissions according to specific business requirements ● Offline - The POS system must function seamlessly without an internet connection, with the ability to synchronize data once the connection is restored. ● Integration - must ensure the POS system can integrate seamlessly with other software, such as accounting software, customer relationship management (CRM) tools, payment providers, or e-commerce platforms ● Scalability - POS system needs to allow for the addition of new locations or expand operations without facing significant technical hurdles ● Sales reporting and analytics - provide detailed insights into analytics–e.g., sales trends, peak hours, best selling products, and customer behavior 3. Integration ● Software must be deployable on Purchasing Entity owned/leased terminal hardware ● Software must be able to communicate awake and authorize with the point-of-sale system on the local Personal Computer (PC) without bringing that PC or the point of sale software into PCI scope ● Implementation must be tested and certified after installation. ● Systems must allow data migration from the previous POS system (specifically pricing for ticket office and lodging data from the hotel). Data can be moved over as a CSV or other data formats. There is 4-5 of prior years worth of data.
