Specifications include, but are not limited to: The City is seeking a performing art focused, cloud- hosted software solution to streamline venue and staff scheduling at the Murray Park Amphitheater, Creekside Cottage, and the Murray Theater. Proposer must complete Exhibit A – Functionality Requirements Questionnaire addressing the following system requirements. The awarded proposer will guide the City through the initial setup and testing of software and train staff in the use of the software. The software should: • Be a cloud-hosted solution with regular updates installed automatically. o Be accessible remotely via mobile device and web browser o Support major browsers for desktop and mobile devices o Provide sufficient storage for all system information including event and client databases and document storage o Allow for data interchange with other systems and tools to minimize repetitive data entry Examples may include ticketing software systems, email (Outlook), and financial • Able to manage scheduling for live performance events and reservations at multiple venues • Staff and volunteer scheduling • Manage equipment inventory and warn of overbooking (tables, chairs, etc.) • Be capable of incorporating multiple price structures (i.e. –commercial, non-profit, equipment only) • Manage billing, invoices, accounts receivable, and recording all financial transactions o Built-in and customizable financial reporting to include: Summary of monthly sales listing invoices and totals for equipment fees, rental fees, taxes and other • Event Management o Accommodate varied levels of access for users o Accommodate multiple reservation statuses (– requested, confirmed, pending final payment, waitlist) o Accommodate multiple group types –commercial, non-profit, government, internal, etc. o Manage scheduling events, reservations, and staffing at both the Amphitheater and Theater o Manage equipment inventory and warn of overbooking (tables, chairs, etc.) o Be capable of incorporating multiple price structures (i.e. – regular, non-profit, equipment only)...
