Specifications include, but are not limited to: Task 1: Project Management The Contractor Project Manager will be responsible for the coordination and communication of evaluation meetings and activities with MnDOT throughout the project. All meetings held with MnDOT as part of this project will be virtual with no in-person components. The Contractor Project Manager will also be responsible for the Contractor’s work performance completing and submitting necessary administrative documentation for the project. Activities under this task will include: 1. Coordinating and communicating a project kick-off meeting with the MnDOT Project Manager and staff to go over project goals, objectives, and schedule. 2. Coordinate regular check-in meetings with MnDOT Project Manager to go over progress, project needs, and potential action items. 3. Coordinating kick-off and debrief meetings for each evaluation undertaken as part of this project. These meetings may include a wider MnDOT audience as determined by the MnDOT Project Manager. 4. Completing and submitting brief quarterly progress update emails for each active evaluation underway - the frequency may be revised based on assessments from both parties. 5. Coordinating occasional (approximately quarterly) meetings with the State Traffic Safety Engineer to provide opportunities for project level details as well as longer term discussions to occur on a recurring basis. Task 1.1: General Project Coordination Manage Contractor time and effort to meet the project schedule and budget. Hold regular team meetings with MnDOT (up to 1 hour long). Contractor Project Manager and additional staff as needed will participate. Meetings are assumed to be bi-weekly, but frequency will be increased or decreased as required by project activities. Task 1.2: Invoicing and Progress Reports Prepare and submit monthly progress reports, schedule updates and invoices. Task 1.3: Project Kick-Off Meeting Prepare for, develop materials, attend and document one two-hour project kick-off meeting. Task 1.4: Quarterly Progress Updates Prepare quarterly progress email updates for evaluations that were active during the quarter. These should include evaluation status updates, timelines, results, challenges, and any other relevant information. MnDOT will share these updates with appropriate stakeholders as needed. Task 1.5: Evaluation Kickoff and Debrief Meetings Prepare for, attend, and document a kickoff meeting at the beginning of each evaluation and a debrief meeting near the end of each evaluation. The Contractor Project Manager will work with the MnDOT Project Manager to determine which MnDOT staff members will be in attendance for these meetings. Evaluation kickoff and debrief meetings will be one to two hours long. Task 1.6: Quality Management Prepare appropriate quality management documentation for submittals, document resolution of review comments. Task 1 Deliverables: 1.
