Specifications include, but are not limited to: A. The Tutoring Management Software Solution (aka “the solution”) must provide the following features and capabilities: 1. Landing center page (ARC) for students to link to other pages (LRC, MRC, SRC, AAC, WRC) and a landing page for each center. 2. Easy to-use student-facing platform. It is desired that there be an app that students could use on their mobile phones. 3. A search feature where students can search for the subject area, they want tutoring in, and the available tutors / timeslots appear. 4. Ability to use student’s JCCC Id numbers for logging in, tracking, scheduling, , searching student details, and verifying their enrollment status for the current semester. 5. System will manage drop-in requests in a queue format. 6. Teams and/or Zoom Videoconferencing integrated into the platform for easier connection between students and tutors. 7. Schedules that tutors can change and adjust (single cancellations for semester long tutoring). 8. Administrator access that allows JCCC Staff to change schedules, settings, etc., when necessary and to set standards across a center (ex: all intake forms for a tutoring appointment need to look the same). 9. Setting holidays/closed dates/times 10. No show rules 11. Ability for students to upload documents of their assignment for tutors to preview beforehand. 12. Appointment reminders sent to students / Text and/or email notifications (opt. In or out option) (no reply) 13. Provide training materials for tutors and admin assistants to learn the system. 14. Report forms tutors can fill out after sessions. 15. Usage Data reports 16. Student evaluation forms 17. Manage ARC activities to include but not limited to Student logs (both of tutoring time and time working alone in the Center) 18. Material Checkout 19. Calendar view showing all appointments made by students in a specific center. 27. Ability to color code/ differentiate the appointments by color coding. 28. Ability to purge/archive appointment details after a semester/reasonable period. 29. Ability for Admin staff to get necessary student information for contact (ie. email address or student ID). 30. Ability to sort appointments by date and to see a calendar view for easy use at the front desk.
