Specifications include, but are not limited to: provide all labor, supervision, management support, transportation, supplies, equipment, and materials necessary to perform secure shredding services at various Housing Authority of the City of Los Angeles (HACLA) locations. Approximately a total of eighty-one (81) shredding bins are required. During the solicitation phase, Service Provider shall include in their quote submittal information concerning shredding ability and security procedures. SCHEDULING HACLA will provide the awarded Service Provider a pick-up/bin-exchange routine schedule. Additional pickups may be requested by HACLA for special projects or periods of excessive distribution needs when containers become full before the next scheduled pickup. HOURS OF WORK Schedule retrieval/pick-up times during normal business hours. Normal business hours for shredding pick-up and bin-exchange services are defined as Monday through Friday from 8:30 am to 4:00pm (PST). SUPPLIES AND EQUIPMENT Service Provider shall provide locking shred binds or console “like new” condition that is presentable for public display. The bins or consoles are to be placed in designated location throughout for the collection of paper to be shredded. All locking shred bins shall have a mail slot on top for disposal of paper. LABOR 1. Service Provider shall be responsible for collecting shredding bins at each location and secure transport of them to the Service Providers secure shred site. At no time shall the Service Provider leave a bin unattended or unlocked. 2. Service Provider and staff shall maintain privacy of all material picked up from HACLA. Material picked up from HACLA shall be destroyed by shredding so it is not readable or re-constructable. 3. Service Provider’s vehicle(s) shall be locked and removed keys from the vehicle used to perform the service when not in use. Vehicle(s) shall be identified and parked in a predetermined location agreeable to both HACLA and Service Provider. 4. Service Provider shall provide a certificate of destruction for services performed upon HACLA’s request. 5. Service Provider shall add additional shredding bins if needed during the contract period at the same contract cost. 6. Service Provider shall delete/remove shredding bins at the request of HACLA, if needed. 7. Service Provider shall provide a key(s) to the lockable shredding bins/containers to HACLA’s account administrator in case of an emergency. Service Provider and staff shall not allow anyone access to the shred bins without explicit permission from HACLA’s account administrator. 8. Service Provider shall provide monthly invoices mirroring the structure of the contract price schedule and itemized the charges as shown in the contract. The invoice should also state the description of the service as it appears in the contract price schedule, date, time, and number of bins serviced. The invoice should include the service Site Name and the date of shredding.
