Specifications include, but are not limited to: Address Printing: Address information must be printed in a clear and legible manner and positioned to meet USPS mailing specifications for official election mail. Mail ballot barcode: Mail ballot barcode should be printed in a legible manner and able to be read by mail ballot sorter scanner and other election technology. Insertion: Some materials provided by the County may be universally inserted into all ballot packets, however the ability to insert unique materials such as the correct ballot style and correct voter education insert is required for each voter. Storage: All official election materials must be securely stored according to an agreed upon security plan to prevent unauthorized access before, during, and after ballot packet assembly. Mailing: All ballot packets must be securely transported to the USPS processing plant for mailing. Sealing: All prepared ballot packets must be sealed prior to delivery to the USPS processing plant Materials that may be used include but are not limited to: o Reply Envelope: approximately 9”x 6” o Ballot: dimensions range from 8.5”-11” in width, and 11”-20” in length. Ballot(s) will be folded down to size to be inserted into the ballot packet. o Voter Education Insert: dimensions range from 8.5”x11” to 11”x17” Voter Education Insert will be folded down to size to be inserted into the ballot packet. o Outbound Envelope: approximately 9.75”x6.25” o Total items: Up to 5 items may be inserted into the outbound envelope: (1) reply envelope, (1-3) ballots, and (1) voter education insert.
