Specifications include, but are not limited to: 18.1. It is anticipated that Indianapolis Fleet Services (IFS) will request auctions on an as needed basis during the contract term. Describe the “lead time” and coordination that would be required to schedule an auction through your company (lead time = number of business days from notification to date of auction). 18.2. Which days of the week would your company be available for auction services? 18.3. Please discuss how your company would handle transportation, reconditioning, storage, advertising, and minor repairs for vehicles and equipment. Please include response time frames after receipt of IFS request is received. Note: Any repairs would be subject to and require pre-approval from the IFS Surplus Coordinator. 18.4. Indicate where your auctions would be located and why you believe your facilities would be able to handle the volumes the City has traditionally seen over the past few years. 18.5. Indicate how your company would meet the requirements of Indiana Code 5-22-22- 4 (Use of auctioneer) and Indiana Code 5-22-22-5 (Public sale or sealed bids; advertisements) 18.6. Indicate how your company would handle the transfer of title and any other titling and related documents and how this will be verified to the City. Also, describe how duplicate and other related titling and related documents will be handled and any fees associated with those services. 18.7. Describe the type of sales receipt your company would be willing to provide the City. 18.8. Indicate your policies with regard to selling vehicles with/without warranties. 18.9. Describe the process your company uses to identify vehicles that are “Salvage Only” and the manner in which these vehicles are advertised. 18.10. Describe your company policy on reserves. (“Minimum” to be bid) 18.11. How would you handle the removal of hazardous materials? 18.12. What remedies would be available for damage to City/County owned vehicles while on your company’s premises?
