Specifications include, but are not limited to: 1. Break-out rooms to accommodate up to 45 attendees in each meeting room – Total 270 staff. • PREFERABLY six (6) Break-out rooms. 2nd Option: Four (4) Break-out Rooms. • Provide audio visual equipment in each break-out session meeting rooms. • Provide audio/visual equipment for PowerPoint presentations, PowerPoint Pointer, cordless microphone with speakers, projector screens and extension cords. 2. Provide one (1) large ballroom to accommodate approximately 270 staff for General Sessions. • Podium, microphone and other IT equipment as needed for the meeting ballroom. • Two (2) projector screens in the ballroom which should enable all attendees to see presentations. • Zoom Capabilities the duration of the Conference. • Evening Meeting Room space to be available from 5:00 p.m. – 9:00 p.m. 3. Provide four (4) tables with eight (8) chairs for Registration the duration of the Conference. 4. Lodging: • Block total 270 Rooms for four (4) nights as follows: - 80 SINGLE ROOMS (Can be determined in accordance with single rooms availability) - 62 DOUBLE ROOMS (Can be determined in accordance with Double rooms availability) 5. Catering Services for approximately 270 NHS staff.
