Specifications include, but are not limited to: 9.1 COE has established the following objectives for this project: 9.1.1 The system shall provide comprehensive management of records requests, including but not limited to, the ability to manage, delegate, redact, fulfill, track, retain, and dispose of records requests received via: (1) requestor data entry and/or submittal into a Customer Portal; (2) physical mail uploaded or scanned into system by staff; or (3) in-person requests with data entered into system by staff. 9.1.2 The system shall adhere to industry standards and best practices and provide the technical foundation to ensure long-term effectiveness and efficiency. 9.1.3 The system shall provide user accountability for internal auditing and systems integration. 9.1.4 If any integration or interfacing is necessary, the system will integrate with other City applications and interface with our third-party providers through standard techniques. 9.1.5 The system will be supported by the vendor, easily configurable and upgradeable, meeting the City’s business needs for the foreseeable future. 9.1.6 The system will be based on current technology and vendor will have a well-defined enhancement strategy anticipating the progress of technology over the next five (5) years. 9.1.7 The system shall provide flexibility for in-house System Administrators and the Information Technology Department to make changes and adjustments as required, in an efficient and timely manner.
